Overview

Our client is a creator of beauty brands. 25 years creating, developing and marketing award winning beauty brands with a reputation of delivering innovative, performance led products. OVERALL ROLE PURPOSE To act as the first point of contact for all visitors and support in the management of the day to day running of the office. Assist in Customer Services for internal and external customers and support the wider team where necessary. Provide support to the Senior Management team as required. ROLE ACCOUNTABILITIES Check meeting rooms first thing in the morning and after meetings, tidy chairs, make sure all notes are removed from flip charts and rooms are ready for the next meeting. Welcome visitors in appropriate manner offer tea/coffee, etc. Update office management docs on SharePoint i.e. staff contact info list / ext. no. list /conference call info, kitchen rota, How To’s, etc. Ensure office equipment is well maintained; printers kept filled with paper and the office is kept well maintained e.g. water plants weekly, clear fridges every Friday, etc. Manage incoming post and parcels, hand out to staff ensure pigeon holes are kept tidy. Communicate with all staff members on daily office management and liaise with Buildings Manager where appropriate. Managing Housekeeping on a daily basis and organizing monthly Housekeeping day and put the new kitchen rota into the kitchen every Friday. Diarise key meetings and events for all staff. Support in booking event tickets, taxis, car hire, travel, visas and accommodation for all staff members as/when required. Maintain and manage office and kitchen supplies/stationary. Provide refreshments/lunches for CEO/CFO and important meetings. Oversee and support in managing CEO/CFO diaries and support with completing expense claims, etc. Organise Birthday Cards, leaving dos and ad hoc special events. Review emails and reply daily. Manage customer service of the Noughty inbox and response to customers same day. Adhoc support for other departments as time and priority allow. Alongside the responsibilities above you also need to be flexible, responding to and prioritising requests from them as they arise.
