Overview
My client is a well established, highly regarded wealth management organisation who are continuing to grow and have exciting plans for the future. Due to their expansion they have an opportunity for an Administration Assistat to join their New Business team. Position overview: To work with the New Business Team to help log the business received and provide administration support with diary chasing and dealing with the daily post. Responsibilities: Ensuring that all New Business that is received either from the IFA, Email or Post is accurately logged into the workflow. To be a point of contact for clients, providers and members of the business Update and manage a diary system, dealing with the relevant new business diary entries within set SLA’s (service level agreements) to the conclusion of the new business processing Liaise with both internal and external stakeholders by telephone, letter and e-mail Maintenance of all administration systems, ensuring that all client data is accurate and up to date Assist with the management of the IFAs pipeline of new business. Use online systems where necessary to obtain information for new business tracking Overseeing workflow management and co-ordinating functions within the team. Acting as support to team members in communications to IFAs re initial case checking. Acting as a referral point for team members in relation to regulatory queries. Providing administrative support. Referring any New Business to Compliance that requires a pre-check before submission. The management of the New Business emails ensuring that the queries are answered or referred. Ensuring that any post received is distributed or dealt with each day. The checking of the FPR’s each morning so that they are posted when the relevant business has been processed. The daily checking of Virtual Cabinet ensuring that this is dealt with or distributed to the relevant team members. Accurately scan and attach compliance documents via the internal Document Management System to appointed Case Owner’s In-tray Any other reasonable request made by a Director/Manager of the business. Scanning of New Business cases when workloads are high. The answering of telephone calls and dealing with relevant queries. Requirements Ideally relevant work experience within a similar role Must have a keen eye for accuracy and attention to detail Effective organisational and planning skills. Able to work to deadlines. Experienced using Microsoft Word and Excel. Delivery focused, with a drive for quality throughout Excellent interpersonal and communication skills Willing to learn and develop Able to work as part of a team, or if required, under your own initiative Work as part of a shift rota pattern of 8am - 4pm, 9am - 5pm, 10am - 6pm This is a great opportunity offering development and progression within a supportive and positive working environment.
