Overview

The Office Assistant role will support all teams within the staff team. This is an extremely busy and demanding role and the work is diverse and varied. No two days are ever the same. The successful candidate will work alongside three other Office and Outdoor assistants who are responsible for managing the workload between the team. A typical day Assisting and supporting the staff team. Lodging of documents at court, and transportation and delivery of members’ case papers to and from court. General photocopying and preparing court bundles on behalf of barristers, and generally assisting the Legal Support Service. Distributing the incoming mail to both staff and members. Responsible for the efficient management and distribution of incoming communications, especially faxes and urgent papers/instructions. Preparation of letters and parcels to be sent by Royal Mail or DX and attending the Post Office for Recorded Mail, etc. Provide general administrative assistance to the staff team. Attending Matrix’ bank to pay in cheques and to collect petty cash. Preparation of papers to be returned to solicitors, placed in storage and maintain an up-to-date record of papers and documents. Shredding of confidential documents. Answering incoming telephone calls and directing calls to members and staff when the receptionists are answering other calls or otherwise engaged. Provide cover on the reception desk, answering calls, meeting and greeting clients and setting up meeting rooms. You must have Five GCSE grades C - A (4-9) or equivalent, including English and Maths Skills needed: Ability to work in a busy and physically challenging environment Ability to prioritise and undertake a number of tasks Ability to co-ordinate with other members of staff Commitment to a quality service to our members and all our clients Commitment to equal opportunities Understanding of and commitment to the values and aspirations of Matrix IT literate is desirable This role will involve lifting boxes and pushing a trolley to and from court on a daily basis. Training in manual handling will be provided.
