Overview
Our innovative client is looking for an experienced Property Manager to join the Property Team. This key role is a fantastic opportunity to work alongside talented individuals who are passionate about delivering exceptional, straight forward, uncomplicated customer service. You will be responsible for the proactive management of several residential blocks of flats, estate schemes, mixed-use developments. Key Tasks Customer Liaison In conjunction with other team members, to build relationships with residents and to deal with all stakeholders queries and correspondence concerning their portfolio in a timely manner and in accordance with KPIs and SLAs. To ensure that day to day telephone and written queries from residents, contractors etc. receive timely and appropriate responses as agreed with KPIs and SLAs To liaise with the client advising and taking instruction where necessary Site Visits To carry out regular visits to managed developments as agreed and in accordance with the management agreement. To establish a programmed approach to inspections to ensure properties are properly maintained and that health and safety guidelines policies are being adhered to provide action plans to ensure these continue to be adhered or if currently not being adhered to plans to ensure they are. Undertake follow up actions as a result of inspections. Meet with lessees and clients to build trusted relationship. Repairs, Section 20 Consultancy and Insurance Claims To arrange repairs and raise works orders in liaison with the Property Administrator and ensure these are carried out in a timely manner. To liaise with internal/external surveyors on points of technical complexity and to discuss larger items of repair. To ensure that repairs are undertaken within budgetary limits. To ensure planned works are being undertaken in line with the lease requirements unless there is specific instruction from the client. To follow the appropriate statutory process on the consultation of leaseholders on repairs where required. Ensure notices are correctly served and major works are being appropriately Project Managed and are being undertaken as per specifications and in line with estimated costs. Contractor Appointment and Management Ensure Maintenance Contracts are in place for all assets and that general maintenance items such as cleaning and gardening. Prepare contract tendering documentation with the assistance from the Property Administrator and identify likely maintenance contractors / service providers. Review contractor tenders, their H&S policies, method statements etc. Oversee the preparation of contract documentation and appointment of contractors. Inspect works and approve invoices Service Charge Budgeting and Accounting Prepare annual service charge budgets in accordance with KPIs and SLAs and in liaison with the Accounts team Circulate draft budgets, present to residents associations/management companies/landlords, where necessary, and obtain necessary approval within agreed KPIs and SLAs. Manage service charge expenditure within agreed budgeting levels. Approve and sign off contractor and service providers invoices. Property Accounting - manage service charge expenditure on properties and liaise with the Accounts team in the preparation of annual Service Charge Accounts. Credit Control In liaison with the Accounts Team to minimise service charge and ground rent arrears by rigorous application of the arrears procedure and personal initiative. To review arrears on a 2-weekly basis (in liaison with the Accounts Team) ensuring appropriate action is taken. To ensure arrears letters and notices and accompanying correspondence are issued on a timely basis. Preparation of serious arrears cases for court, ensuring solicitors have wholly accurate information and where necessary attend proceedings. Residents Meetings Attend residents meetings (some evening if required) which will include presentations on annual service charge budgets, accounts reviews, maintenance and repairs and major project plans and progress of works taking place. Where required attend Annual General Meetings. Landlord and Tenant and recent management practice To keep abreast of recent landlord and tenant legislation, safety regulations and the latest management practices. To ensure up to date knowledge of all Landlord and Tenant legislation and to request training when considered necessary. To ensure a thorough knowledge of safety regulations and to highlight areas of non-compliance.
