Overview
Job Purpose To provide a highly proactive, professional and efficient range of business support and personal assistant services to the Senior Management team To act as first point of reference on behalf of the Senior Management team including partner organisations and all internal and external enquiries to the corporate office. Manage all corporate business returns, including planning, performance, dashboards, mandatory training and workforce returns. The role will also co-ordinate and service a number of Senior Leadership meetings. Key Working Relationships The post holder will report to the Transition Project Manager and fully support the function of the Senior Management team. Communication Ensure the Senior Management team are fully prepared for all activities undertaken in the course of their day to day activities and day to day administrative requirements are managed effectively. Ensure the Senior Management team are communicated with effectively when out of the office. Manage the Senior Management team diaries, email accounts and ensure meetings are prioritised effectively. Provide a confidential secretarial service, maintaining confidentiality at all times. Taking telephone calls for the department when out of the office and use initiative to deal with phone calls and messages. Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner. Working with all team members in the collection of information for performance reporting on relevant team projects. Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously. Planning and Organising Sorting and prioritising all incoming mail and e-mail, distributing as appropriate; Undertaking administrative duties such as photocopying, printing and mail-out distributions; Supporting teams in project management and participating in department events; Use workflow systems to prioritise, organise and manage the workload; Organise and manage tasks on behalf of the Senior Management team; Responsible for servicing a number of Corporate meetings, co-ordinating agendas, taking and distributing minutes, distributing papers, maintaining and action log and chasing actions etc; Supporting teams in project management and participating on behalf of the Senior Management team; Co-ordinate monthly attendance returns and holiday diaries Maintain effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team; Responsibilities for physical Organising and planning events as necessary and provide supporting information material as required. Required to be computer literate, with advanced keyboard skills, with the inputting of accurate data being essential. Possess strong IT literacy and numeracy skills and be an advanced user of MS Word, Excel and PowerPoint. Human Resources Promote the vision, and mission and to uphold the values in all day to day activities and delivery of services. Undertake relevant activities and mandatory training. Adhere to all policies and guidelines, including HR, Information Governance, Risk Management and Health & Safety policies. Comply with relevant and own professional codes of conduct and accountability. Maintain professional registration if this is a requirement of the job.
