We are currently looking for an Office Coordinator who can support our reception and office needs at a busy time of transition to a new office. We need someone who can work with us as we project manage the move. Someone who can review our existing vendors, streamline them for efficiency, source new vendors who better fit our culture and future needs, and who can support us in our new office premises. At the same time our Office Coordinator will be responsible for supporting the operation of the UK office, clients and staff as outlined in the description below. Key responsibilities Answer, screen and forward incoming phone calls Greet and welcome guests as soon as they arrive at the office Ensure the reception area and office are kept neat and tidy Receive, sort and distribute incoming mail; prepare and send outgoing mail and FedEx packages as requested Maintain the condition of the office and arrange for all necessary repairs & upkeep Be the key contact for day-to-day coordination of all key facility's suppliers Provide expedient support for the facility's needs of the London office. Handle day to day matters ensuring vendors are delivering expected levels of service and hygiene. Maintenance and repairs to be scheduled on a timely basis Order office supplies for staff breakfast, kitchen, washroom and stationary. Keep an inventory of stock and merchandise for the company Keep updated records of office expenses and costs, pass invoices to Finance for processing, ensuring PO's are raised Work with HR to maintain UBC-templated CVs and training documents Perform general administration duties as required Assisting in client, visitor and audit meetings by collating the relevant information, booking the meeting room, managing lunches/refreshments, transport etc. Support the organisation of employee events, calls and meetings. Such requests may come from any of the groups in the UK - Operations/Project, Finance, HR of Legal Lead a team of fire marshals, typically 3-4 volunteers, ensuring compliance of fire drills etc. Maintain and manage all file storage (on-site and off-site) Support travel needs for leaders in the UK where the itinerary may be complex Personal qualities Represents the business with a positive attitude and professional manner Excellent written and verbal communication skills Reliable, collaborative and respectful at all times Positive and confident communicator in the reception environment and with staff Approachable and able to build good relationships across all areas Organised with strong interpersonal skills Customer service focused, able to provide the best support to internal and external customers Self- motivated with a positive \"can do approach\"; proactive and flexible in terms of what's required to support the office, staff and clients Use of initiative and common sense Attention to detail Discreet where required with confidential matters Willingness to work across a wide range of activities from basic admin / reception to more challenging areas.
