Job Description

The Facilities Management (FM) Supplier Management Office (SMO) is a new entity within Worldwide Real Estate and Facilities (WREF) that supports the supplier relationship and operational management of key strategic FM suppliers to WREF or across multiple Business Units (WREF, Pharma Supply Chain, Vaccines) and Geographies. The Contract Lifecycle & Analytics administrator will pro-actively assist the SMO team with data interrogation to investigate initiatives to improve service quality and efficiencies including the deployment of supplier management processes. The role will also provide contract lifecycle administrative support ensuring the efficient and effective capture of contract documentation and revision control, providing easy reference access to the FM operations teams. Key Responsibilities: * Develop and administer contract and performance analytics, creating actionable service performance insight for SMO team, business units and service providers. * Develop and administer a central repository (SharePoint / similar platform) for SMO held information/documentation promoting easy and intuitive access for the operations team * Develop and administer a central contract documentation repository (MSA, LEA, SIP and change orders). for operational reference and access * Interface with the suppliers and WREF knowledge centre (KC) ensuring fit for purpose governance dashboards and accurate governance reporting * Develop data analytics capability via creation and maintenance of SMO BI as a central contract knowledge source, including; (i) supplier scope/spend/geography data, (ii) Supplier audit compliance and (iii) Budget spend setting and spend. * Maintain and update administrative procedures and processes for management control and contractual related changes. Including tracking & reporting of CR progress and filing of completed documentation. * Organise and prepare for Enterprise governance meetings e.g. EMO and EES, to ensure effective use of time and clear outcomes (liaising with BU leads, Contract Managers, Procurement and Suppliers as required) * Maintain records of key Stakeholders and interfaces for sites and services in scope. * Develop and manage an ongoing programme of SMO led training events, initially focusing on contract commercials, contract refreshers and change control. * Assist as necessary with the on-boarding or off-boarding process of any new service providers. Basic Qualifications: * Excellent literacy and numeracy skills demonstrable experience with data management and data analytics. * Experience in a supplier management administrative role within FM delivery or Procurement ideally for a global organisation. * Advanced knowledge of creating SharePoint / Intranet sites providing data access * Communication, presentation and facilitation skills * The ability not only to identify challenges but to create solutions Preferred Qualifications: * Technical qualification in business administration or data management As a company driven by our values of Patient focus, Transparency, Respect and Integrity, we know inclusion and diversity are essential for us to be able to succeed.
