Job Description
ROLE PROFILE As an Accounts Assistant, you will work alongside and report into the Financial Controller. This role would suit someone who is dynamic, a clear communicator, highly process-driven, with great attention to detail, a passion for people, creativity, tech, and business operations. Someone who is ambitious and would like to grow within the company and looking to move up in time to a Management Accountant position. Paprika experience is essential for this role. This role will provide exposure to many aspects of the finance function as well as a deep insight into the business operations across the company, so this role is integral across all departments not just Finance. RESPONSIBILITIES The key responsibilities of the Accountants Assistant are as follows: * Manage all aspects of Accounts Payable - supplier invoices, expense claims, credit cards * Manage all aspects of Accounts Receivable - Enter estimates given on billing instructions, raise & send invoices to clients, maintain sales daybook and revenue tracker, chase upcoming invoices due for payment and any overdue invoices. * Upload sales invoices to the relevant portals * Set-up new job numbers in Paprika. * Updating daily cashflow forecast tracker * Process payments and receipts into Paprika for all currency accounts. * Monthly Bank reconciliations of all our bank accounts (GBP/EUR/USD) * Prepare and process weekly payment runs as well as ad hoc currency payments * Setup new starters in Paprika and provide basic staff training, updating timesheets manuals (ad hoc) * Chase and process time each week on Wednesday by 3pm on Paprika * Send any overdue time email list to Leadership team * Updating freelance tracker * Assist in the preparation of month-end reports - i.e. Prepayments, Accruals and Fixed Asset register * Assist in the preparation of the Cashflow forecast and company board meeting reports. * Preparation of P11D information * Prepare VAT Returns * Collate R&D Information for submission to 3rd party company * Assisting with annual audits * Maintaining company subscriptions list * Update and maintain monthly notable spend and travel spend reports * Create new Workbook templates (used by project managers to track and estimate) * General filing and maintenance of all financial paperwork * Support the Financial Controller with ad hoc finance projects Requirements WHO WE ARE LOOKING FOR * Truly lives the company values which are: Bold, Collaborative, Innovative, Inquisitive, and People Powered. * Previous experience as a finance/accounts assistant is essential, ideally in media, creative or tech. * Paprika software experience is essential. * Excellent networker with strong internal and external communication. * Strong Excel or Googlesheet skills are essential. * Naturally empathic with the ability to build relationships based on trust and transparency, and able to be a positive influence on others. * Highly process driven and obsessive about detail. * Understands the fast-paced nature of the creative and tech industries, and is able to embrace constant change with a calm and agile approach. * Creative mindset and ability to design and improve processes so they are highly efficient * A genuine interest in numbers, with the ability to connect the dots with this role, and shape the role in line with the bigger picture. * Proactive and driven to succeed. * Professional, reliable and punctual. * Excellent time management with the ability to prioritise effectively. * Able to manage, then ultimately exceed expectations in all areas of the role. * Familiar with Gmail and Google docs and proficient in Word, Excel and PowerPoint.
