Job Description
Our client is a leading UK IFA firm that has enjoyed exceptional growth in the past few years they are now seeking an IFA Administration Remote Supervisor. Ideally, you will have c 3 years or more experience of supervising Administrators within a similar role coupled with Financial Services knowledge and understanding. Financial Services experience is essential. Description Reporting to : Administration Support Manager Position overview: To oversee, line manage and train a team of IFA Administrators remotely to ensure timely, efficient and accurate administrative support to the IFA's and the firms organisational strategy. Responsibilities: Line management of all external IFA Administrators from a workflow/training/holiday and sickness perspective to include regular reviews and appraisals Dealing with any staffing or workflow issues/requirements and escalating to the Administration Support Manager where necessary To be a point of contact and to work closely alongside all external IFA Administrators and their supporting IFA's Identify training needs and construct and deliver training sessions where required for both internal and external IFA Administrator's, liaising with the Administration Support Manager to ensure any training requirements are met Responsible for training external PA's from outset to ensure that processes and procedures are adopted Identify any process issues/improvements and escalate for investigation by Operations department Ensuring all workflow is dealt with in accordance with compliance department's guidelines Ensure all SLA's are adhered to in relation to the support of the advisers and assisting with daily workflow wherever necessary Responsible for co-ordinating cover for remote staff Ensure all administration systems are maintained, that all client data is accurate and up to date and perform spot checks of work completed on a regular basis To provide support to all new acquisition remote staff to assist with fully integrating them into the firm in the most efficient manner To ensure any existing acquisition back office function is 'merged' with the firm over an agreed timescale Provide coaching and support across the Administration Department To undertake monthly follow ups with Administration staff from new and existing Acquisitions To undertake quarterly site visits for fully employed external Administration staff Any other reasonable request made by a Director/Manager of the business Requirements Ideally 3 years or more experience of supervising within a similar role coupled with Financial Services knowledge and understanding * Previous experience of coaching and supporting team members * Previous experience of training staff * Effective organisational and planning skills * Able to work to deadlines * Able to forge and develop relationships * Experienced using Microsoft Word, Excel and Outlook * Delivery focused, with a drive for quality throughout * Excellent interpersonal and communication skills * Must have a keen eye for detail * Experience of managing other people * Willing to learn and develop * Able to work as part of a team, or if required, under your own initiative * To be prepared to travel to our external offices around the country * Work as part of a shift rota pattern of 8am - 4pm, 9am - 5pm, 10am - 6pm THE PACKAGE In return, there is a highly competitive negotiable salary with a first-class benefits package which includes a pension scheme and 30 days holiday (including bank holidays).
