Job Title: Lettings Administrator Location: Acton, London Salary: £19,000 per annum Job type: Full Time, Permanent Working Hours: Monday to Friday 9am to 6pm Saturdays, alternate 9am to 4pm. This time will be given back in lieu for time off in the week This Company is a forward thinking and successful independent estate agency with two offices in Acton and Hammersmith. The Role: As the Lettings Administrator you will be working closely with the Lettings Managers and Team Leader to facilitate the timely progression of each lettings file to a successful move in. You will be the main point of contact once the offer is agreed and will need to manage all shareholders in and efficient and orderly manner. You will be dealing with the renewals process and change of occupancy. They have built a business through referrals and recommendations, so it is paramount that the client would want to do business with them again in the future, so you are their brand ambassador. These relationships are built on trust, transparency and absolute integrity. Job Duties: Drawing up offer letters to respective stakeholders within the targeted timeframe Responding to client communications in a professional and timely manner Collecting move in monies and supporting documentation from both tenants and guarantors Collecting all landlord documents to ensure they remain compliant Liaising with all stakeholders to ensure tenants are referenced within 72 hours Drawing up the tenancy agreement within 5 days of the agreed offer Negotiating the renewal of tenancies between landlord and tenants Dealing with the change of occupancy process Using CFP Winman, Microsoft Access, Outlook and AbobeSign to manage your workload efficiently Organising gas safety inspections, EPC's, inventories, professional cleaners and furniture Attending meetings with other individuals involved in the lettings process Maintaining standards according to company policy and ARLA Reaching targets and company KPI'S Ensuring administrative records are kept up to date at all times Ensuring client feedback and high standards of care are adhered to at all times Assisting in the collation of key performance statistics to head office Answering general enquiries from tenants, guarantors and landlords Assisting with general administrative and secretarial support Filing, photocopying and scanning Acting as an ambassador and role model for their business Please click on the APPLY button to send your CV and Cover Letter for this role.
