Overview

Float Legal Secretary Maidstone Up to £23,000 You will be required to cover the Maidstone, Canterbury and Tenterden offices providing secretarial and general administrative support to fee earners across various practice areas. From time to time under the direction of the office manager to provide an efficient and effective service to all internal and external clients with regards to reception and hospitality facilities. To promote the professional image of the firm at all times. Main responsibilities · To prepare correspondence and documents through audio-typing (digital dictation) and word processing to various practice areas. · To open new client files via Partner. · To draft client engagement letters. · To ensure files are ISO 9001 compliant · To collate and file deeds and wills · To make appointments, arrange meetings and maintain up-to-date diary for the department. · To deal whenever possible with routine client enquiries and communications. · General administration, which will include daily filing, the opening, closing, storage and retrieval of client files within the parameters of ISO 9001 policies and procedures. · To prepare mail and enclosures. · To prepare documents/reports as required by fee earners. · To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the company’s standards for client care. · To ensure the confidentiality of all the company’s client’s documentation and information. · To work at other Whitehead Monckton offices to meet the needs of the business. · Other office assistant/reception duties as deemed necessary to fulfil the role.
