The Office Support/ PA will provide and maintain an efficient and professional service to all clients and colleagues and will be responsible for the day to day running of the office. Working hours are flexible, you will be required to work 37.5 hours per week between the hours of 8.30am-5.30pm. To apply for the Office Support/ PA, you will have previous administration skills, gained within a commercial environment along with experience of working as PA. You will have an exceptional attention to detail, the ability to work to deadlines and excellent personal presentation. More importantly is a pride in your own working standards and in getting things right first time for our customers, along with a genuine quality focus - appreciating the need for high calibre procedures. Key Responsibilities: To be the first point of contact for incoming telephone calls and queries - redirecting calls and taking messages promptly, professionally and efficiently Booking and arranging travel, transport and accommodation for the Managing Director Manage multiple inboxes Monitor and action email inbox, forwarding any enquiry emails to the relevant Consultant Book in client meetings with the relevant Consultant and update the database Booking any travel and accommodation needs for any of the Consultants Oversee and maintain an efficient filing and archiving system Archiving of inactive client files, ensuring GDPR is strictly adhered to Essential Skills: Experience of administration systems and procedures Reception or customer service skills with excellent personal presentation Demonstrates a right first-time approach to situations Strong customer focus, demonstrating professionalism and the ability to deal with difficult situations with empathy Ability to work in a fast-paced office environment and manage workload to work to deadlines Quality focus - appreciating the need for high calibre procedures Initiative and problem-solving ability, with a common-sense approach to numerical information Strong oral and written communication skills Accurate typing and data entry skills Intermediate knowledge of MS Word, Excel and Outlook Keywords: Reception, Receptionist, PA, Office Support, Administration, Administrator, data entry, customer service __________________________________________________________________________________________ Unfortunately due to time restrictions we cannot respond to every applicant, in the event that we haven’t contacted you within 48 hours please take it you have not been successful for thisparticular role, but your details will be kept on file and considered for all future vacancies We are acting on behalf of the client as an Employment Agency in relation to this vacancy We are an equal opportunities agency and welcome applicants from all backgrounds
