Office Manager Permanent Newhaven Salary Up to £25,000-£30,000 depending on experience Full time Mon-Thu 8:30am-5:30pm lunch 45mins, Fri 8:30am-1pm COMPANY OVERVIEW Surrey NanoSystems is the Company behind Vantablack® , a range of super-black coatings. With t arget applications in the Aerospace and Defence, Automotive, Aesthetics, and Consumer Electronics sectors, typical applications ranging from satellite instrumentation to high value luxury goods. THE ROLE This role is pivotal to the smooth running and efficiency of the business and we are looking for someone with demonstrable experience of working in a fast-paced and very varied role. The ideal candidate will have initiative, drive and the proven ability to prioritise their workload. Much of your work will be unsupervised so you are required to ‘think on your feet’ and provide solutions to administrative, office and customer related problems. A good chunk of responsibilities will be focused more toward financial administration. RESPONSIBILITIES Reception duties, including answering incoming calls, scheduling appointments and greeting visitors. Answering general emails and postal correspondence with suppliers and sometimes customers. Monitoring/Booking of meeting room. Processes employee expenses. Processing Fortnightly BACS payment runs Processing Requisition forms, Purchase orders and Purchase Invoices Processing Sales order and Sales Invoices and occasionally creating quotations Procurement of office stationery and supplies. Monthly Payroll and Auto enrolment using Sage 50 Payroll Recording Holidays and Sickness days. Goods in and Goods out Weekly Bank and Credit Card Reconciliation VAT and ECSL returns Assisting Accountant in completing Management accounts every month. Arrangement of travel and accommodation for members of staff when required Any other admin support/tasks if and when required Qualifications: Prior office management experience preferred but not essential At least 2 years Bookkeeping and Payroll Experience, desirable. Proficiency in Sage 50 Payroll and Sage 50c Accounts Proficiency in Microsoft Office Good Communication Skills, Both Verbal and Written Exceptional Organisation Skills Professional Telephone Manner Appropriate Mathematical Skills Ability to Perform Under Pressure Excellent Customer Care Skills Ability to Maintain Strict Confidentiality Ability to Prioritise Effectively Keen Attention to Detail Ability to Work Well Under Pressure Excellent Time Management Skills Excellent and Accurate Data Entry Skills Positive Attitude Reliable and Dependable Self-motivated and able to focus in a distracting environment.
