Stores & Equipment Administrator Location: Rayleigh, Essex Dept: Admin/Accounts Salary: £9 per hour Hours: Monday - Friday 9am - 5pm Purpose of the role: To use the company’s computer system for the accurate record of sales, purchases, and movement of stock, equipment and uniform. To ensure consumable & equipment orders are processed effectively and efficiently adhering to budgets and timescales. To ensure the Company’s Health & Safety documents are maintained on sites including RA/MS and COSHH Main Duties: To place supplies & equipment orders for delivery to clients within timescales specified using in-house system To ensure consumable, machinery and PPE budgets are adhered to Check invoices correspond with purchase order and delivery notes. Request credit notes where applicable. Enter approved supplier invoices onto accounting system and pass approved invoices for payment To ensure new job start-ups consumable orders are placed in good time for required delivery date. Purchase authorised machinery/equipment for job start-ups and arrange delivery To record machinery & Asset numbers onto the inhouse system and deal with any machinery outside of PAT timescales. Provide reports for Area Manager meetings To create stores templates for new clients and ensure Area/site managers have access Ensure correct price list for products is attached to client To prepare and issue Site Books for clients and maintain records for annual update. Scan picking list and attach to site details Communicate effectively to all operations team to get them to supply the information you require for your records Raise any business issues that could assist or affect the efficient and proper running of the company Maintain & Order supplies of company uniform and keep stock records Produce reports for Area Managers meeting regarding Machinery/Stores/PPE Liaise and maintain relationships with consumable, machinery and PPE suppliers Scan and attach client/supplier correspondence/photos/documents to inhouse system
