Overview

We are looking for a professional facilities administratior/helpdesk opererator to support our facilities team in the below tasks in a temporary, long term role in central Stevenage. This part-time 25 hour week role would be ideal for someone that has worked in a fast paced in enviroment booking contractors and scheduling works, raising POs for these works, controlling the entire process. To ensure that all Helpdesk Calls and emails are logged accurately and prioritised according to their urgency To record all jobs on the in house system and raise and send jobs to appropriate contractor To follow up with contractors, in order to acquire latest information, keeping the client informed of job progress, or nature of any delays experienced To interrogate system, in order to ascertain required information for compilation of management reports Purchase Orders and Invoice Processing To ensure Purchase orders are raised promptly and required information is passed onto supplier. To process invoices in a prompt manner, ensuring all are coded to correct cost centre and budget line prior to obtaining required signatures and passing for payment To advise departmental manager of any irregularities with orders and to support Manager with the provision of Budgetary information Issue of Identity Cards and Management of Access Control Database To issue identity cards to staff, ensuring they have the correct access levels To ensure the Database is kept accurate at all times, by running reports, and searching and interrogating the system to find anomalies To record issue of temporary contractors, ensuring they are returned accordingly Preparation of Management Reports To prepare weekly reports on outstanding contractor jobs, by interrogating the portal and sending to appropriate contractors for action To prepare outstanding jobs on a monthly basis, by site and distributing to respective service / centre managers To provide budget support in relation to setting budgets, historical data / issues and running ad-hoc report Undertake a professional postal service within the main operational offices, this will include: Sorting and distributing of external / internal post when required. Collect / deliver parcels to and from Service Delivery Units. Franking of outgoing mail including recorded deliveries Organise / maintain courier services for deliveries larger than royal mail collections. Logging and receipt of cheques and arranging banking Provision of requisite advice regarding postal matters. Ensuring the franking machine is kept in good working order Assist in written procedures for Council postal arrangements as necessary Assist in the provision of a full mailroom service and support services for the councils main operational buildings Liaising with Royal Mail as required.
