Our Client are a leading Infrastructure Sponsor, Developer with a number of Operational Projects / Assets in the Energy sector. They are now looking for a strong IT specialist that can help them design, set-up and manage their internal document management system. The role involves working closely with the management team to establish a new system that employees will then need help with training and using the system. On offer is a salary of £45-60k (dependent on level of experience) 20% bonus, pension, healthcare and other benefits. Flexible working culture with ability to work from home. Key accountabilities: As part of the Contracts Management Team, the IT SYSTEMS MANAGER / Quality Systems Document Controller will be a true Business Partner to the Contracts Manager, the General Manager and the Executive Administrator. Specific focusses are: Confer with the IT Department and others to design system and to obtain information on project limitations and capabilities, performance requirements and interfaces. Modify existing software to correct errors and to improve its performance. Analyse user needs and software requirements to determine feasibility of design within time and cost constraints. Consult with stakeholders about software system design and maintenance. Coordinate software system installation and monitor equipment functioning to ensure specifications are met. Develop and direct software system testing and validation procedures, programming, and documentation. Obtain and evaluate information on factors such as reporting formats required, costs, and security needs to determine hardware configuration. Determine system performance standards. Train users to use new or modified software. Store, retrieve, and manipulate data for analysis of system capabilities and requirements. Set up, copy, scan and store documents. Create templates on the software. Manage requests for documentation. File documents in physical and digital records and ensure appropriate storage. Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date. To liaise with and distribute project related information with all levels of the project team and potentially external parties. Manage the processes around documentation within the organization. Maintain confidentiality around sensitive documentation. Prepare ad-hoc reports on projects when required. In liaison with the Learning and Training Manager develop a training pack to ensure compliance with the implementation of the agreed software systems and Department’s document control and filing requirements. Key responsibilities: Develop, create, and modify the chosen document control electronic computer application software and analyse user needs and develop software solutions. Design software or customize software for use with the aim of optimising operational efficiency. Also analyse and design databases within an application area, working individually or coordinating database development as part of a team. The Quality Systems Document Controller will be responsible for the timely, accurate and efficient preparation and management of documents. The person will control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments. Experience required National vocational qualifications (NVQ); Knowledge of electronic document control system especially SharePoint and Aconex; Strong IT skills in MS office including outlook, excel and word; Good attention to detail; The ability to multitask; Highly organised; Excellent communication skills; Ability to efficiently and comprehensively understand user requirements and react quickly to changing demands; Developing and maintaining relationships with key stakeholders; Excellent organisational and time management skills; Good written and spoken communication skills; Accuracy and attention to detail; A calm and professional manner; A flexible and adaptable approach to work; The ability to use your own initiative.
