Overview

My client is a leading medical company based in Chislehurst. Purpose of the post Administrators are responsible for completing day to day processes undertaken by the Admin Team. Administrators must have an understanding of the services we provide as a business and be able to carry out a number of daily administrative tasks in support of the overall team effort. The role includes all forms of communication with internal team members and clients as well as input and manipulation of data onto Maitland’s computerised occupational health database (e-Opas). Main Duties and Responsibilities of the Post In accordance with established procedures and protocols to: Seek to assist to manage workplace standards attached to all members of the Admin Team including punctuality, conduct and efficiency levels Have excellent knowledge and be able to undertake all roles within the Admin Team Work closely with other members of the Admin Team to ensure all administrative tasks are dealt with efficiently Adhere to established office practices and protocols and to train and develop activities which are relevant to the department Train others in existing or new protocols/processes (when required) Be flexible with working hours, i.e. possible need for staying late/starting early on occasions Deal with or distribute incoming/outgoing post and emails (when required) Maintain high levels of accuracy and attention to detail with regards to all information on files and eOpas Generate a range of standard letters, email responses/updates and other documents normally relying upon standard masters or where appropriate drafting new versions Scan all necessary documentation onto the system to ensure Maitland Medical keep all required paperwork on their shared drive or eOpas Deal effectively with difficult calls/queries/complaints - escalating them to the Management Team if required Undertake any other duties as may be required to assist in the smooth running of the business Outline of the Admin Teams Daily Tasks and Responsibilities Email inbox (answering and/or distributing queries to the relevant department) Incoming post / outgoing post / information received by fax Answering the door / signing employees in and informing the relevant person of their arrival Processing DNAs / consents / clinic list for the following day Receiving reports by email/post/fax, attaching these to the file and updating eOpas Processing paper new starter assessments / vaccination history Management referrals - putting new referrals on to eOpas accurately (including pulling files when required) Setting up reports ready for the clinical team to use following an assessment Booking appointments (OHA Cons, OHP Cons, GP/Specialist, Physio, Counselling, OHA and OHP MTAs) Chases - GPs / OHPs / clients Taking credit card payments
