Exciting opportunity to join a friendly, buzzing, family feel Company in Central London and grow as part of a team Main purpose of the role: Assist the Block Management team with the day to day operations and tenant/block matters through the coordination of requests and administration of maintenance services. Key Responsibilities: Deliver effective property management through providing support and guidance to tenants and landlords by resolving issues sensitively and promptly. Provide tenants and landlords with assistance in all aspects of scheduling building maintenance, communicating building procedures and supplying general building information. Answer and route phone calls/emails from tenants, landlords, clients and contractors and dispatch required personnel based on immediate needs. Issue instructions to contractors for repair works having gained appropriate authorisation approvals. Ensure tenants and landlords are fully up to date. Arrange inventories, gas safety certificates, EPC's etc Provide support to Property Managers by producing/distributing various forms, spreadsheets, manuals, information packages etc. Ensure databases and online filing are up to date and compliant. Maintain a highly organised filing system for leases, tenants, health & safety regulations, insurance certificates, vendors, buildings, drawings, contracts and POs. Visit sites to meet contractors, provide access and in time assist with risk assessments & site inspections etc. Create and distribute marketing materials for the property management division. Requirements & Person Specification: Approximately 2 years minimum previous experience in a role within block management Prior experience with software systems such as database management and ordering/invoicing is essential Excellent time management, prioritisation and project management skills. Good working knowledge of Microsoft Office software and willingness to learn new software packages Good business writing skills - grammar, punctuation and spelling Excellent communication skills with an ability to stay calm, focussed whilst empathising and resolving issues Positive attitude with confidence in own abilities Excellent approach to client care Analytical individual with fantastic attention to detail Excellent time management skills Understanding of property terminology
