Overview

We are currently recruiting for a highly regarding financial planning practice in Fareham who are looking for a Senior Administrator. Role Overview To provide a support service to advisers, colleagues and clients, with responsibility for processing and tracking new business, liaising with external professionals within agreed timescales, maintaining accurate back-office records and managing the pipeline of business through to completion. In addition to greeting visitors, managing diary appointments and general enquiries, the Senior IFA Administrator issues and follows up letters of authority, collates plan/investment details and provides accurate management information. Key Responsibilities Comply with all applicable FCA rules, current regulations and relevant processes, meeting all regulatory and internal requirements Process new business, sending items to the product provider/investment house within agreed timescales Arrange quotes and check the accuracy, obtaining appropriate literature, illustrations and key features to accompany the prepared client documents, within agreed timescales Actively manage the pipeline through to completion, sending out policy documents/contract notes in a timely and compliant manner Manage a diary system to manage scheduled events and ongoing work to ensure a high-quality service Process post-advice administration (including valuations) on behalf of Advisers/clients Maintain comprehensive, accurate records and electronic files within company standards, ensuring all documentation is secured for future reference and in line with GDPR Engage with external professionals and clients efficiently, effectively and timely, to produce qualified results and develop good relationships with working partners Issue, progress and follow up letters of authority Engage with any projects to improve operational standards and to support the team Greet visitors and telephone callers and handle enquiries Oversee the company back-office system, ensuring the team’s knowledge of the company’s back-office systems is consistent and up-to-date Skills Required Well-organised with the ability to work autonomously, managing own workload and to specific deadlines Strong planning and prioritisation skills to balance the varied elements of the role Attention to detail and accuracy at all times Committed to Continued Professional Development Excellent communication and interpersonal skills
