Overview

On behalf of our client based within a large refinery in Immingham we have a vacancy within the operations team for an experience technical administrator. Responsible to: Departmental Manager JOB DIMENSIONS Provide full secretarial service for the Operations Manager Support Senior Operations day staff in the day to day co-ordination and control of various administrative tasks Provide secretarial/admin service as required by other members of the department including shift staff. ACTIVITIES/RESPONSIBILITIES Co-ordinate the review and reissue of all departmental Standing Orders, Operating Procedures and controlled documents Develop, manage and control Master Blind List Register (GM-56) Overall responsibility for the submission of reservations and requisitions Submit SES's Carry out analysis of expenditure in SAP Develop, manage and control electronic filing structure Liaise regularly with suppliers to ensure goods procured at competitive rates Overall responsibility for the cost control and purchase of office supplies and printed items Produce KPI's on a monthly basis:- LOR FS 701 OPS SO 051 Work Authorisation Certificates Operations SOP's Reconcile purchasing/accounting issues Facilitate meetings, taking of Minutes etc. as required by Departmental Manager and senior operations staff Oversee TRECK bookings Supervise placement student when appropriate Meridian key user SAP key user Overall responsibility for the management of building issues within CCR ACCOUNTABILITIES Controlled document management Monthly KPI's Manage supply & expenditure of office supplies Management of departmental network location QUALIFICATIONS/EXPERIENCE REQUIRED Recognised secretarial qualifications At least 5 years secretarial experience working with senior management Minute taking skills (preferred shorthand ability) Excellent working knowledge of the Microsoft suite including MS Visio Good working knowledge of SAP Organisational skills Communication skills written and oral SAFETY & HEALTH Building fire warden Be aware of the procedure to be followed in the event of an emergency/fire in the CCR Building Be familiar with the Company Standard for Site Emergencies Comply with site safety requirements ENVIRONMENTAL Be familiar with the company Environmental policy and ensure all environmental activities within their control comply with the LOR environmental policy. QUALITY Ensure compliance with Company graphics standard Ensure procedures follow current standard.
