Overview

Our client is a leading national Facilities Management provider in the UK providing outstanding services to multiple sector clients. KEY OBJECTIVE OF THE PAYROLL MANAGER: To ensure payroll accuracy is administered and that payroll costs are well controlled. To ensure that all statutory and company requirements are complied with. To maintain records of all staff and produce relevant reports in line with payroll, HR, and external requirements. To pay the workforce on time and accurately on the specified date, in line with contractual terms and payment frequencies. The provision of payroll support, reports and advice to all departments. MAIN RESPONSIBILITIES: Administration To process, on four weekly and monthly correct and timely salary payments to all employees across all divisions. To ensure compliance with UK legislation in respect of processing of all payments to employees, including Right to Work, Income Tax, National Insurance and Pensions. To ensure that new starter procedures are strictly adhered to, including company and legislation requirements. To ensure signing in/out procedures are strictly adhered to. To review time sheets which are submitted and ensure they are reasonable. Ensure that employees’ full details and cleaning staff hours are accurately inputted on the wages computer system, so that correct wage payments are received. To ensure payroll data is processed on time and accurately, according to company and legislative procedures. To ensure that payroll management control systems are complied with. To ensure processes and procedures are adhered to, and maintained, in line with the business controls, internal and external audit procedures. Contribute to the production of timely and accurate year end data to H.M. Revenue & Customs. To liaise with the operational management team over all key payroll issues. The provision of payroll training, support, administration and advice all departments and divisions. To maintain an up- to-date filing system, including the maintenance of cleaning staff personnel files, in line with GDPR and company requirements. Ensuring electronic and paper based files are maintained, updated, filed and completed in a timely manner. Monitor the completion of induction-training records. To answer any payroll queries via the telephone, face to face, or written. To respond to correspondence relating to payroll and employees. To keep up to date with changes in legislation and best practice to ensure a professional service is provided at all times. To advise management of any statutory, regulations or best practice regarding payroll and providing updates as required. Produce relevant manuals in line with policies and procedures and providing training to end-users. Ensuring approval obtained, prior to issue from the Directors. Ensure management information is provided to the required deadlines. To provide training/coaching to operational staff on the payroll system and procedures at Head Office or company offices. To communicate with management any administration areas that requires corrective action. Provide excellent customer service, both internally and externally, in line with the company and departmental standards, procedures and guidelines. Professionally, effectively and efficiently resolving queries by written and oral communications, either direct with the employee or manager. To ensure all management and control systems are adhered to, and that the company is complying with the Finance Departments, HR, and quality, Health and Safety and environmental standards. Ensure the company’s Health and Safety Policy and Procedures are being implemented and adhered to. To provide support with ad-hoc projects. To ensure strict confidentiality is maintained at all times. Staff Management To recruit, induct, train and develop direct reports, to ensure a high calibre of Payroll Administrators. All terms and conditions for management and administration personnel must be agreed with the Director prior to positions being offered. To ensure that the team understand and are focused on meeting the company objectives, via regular communication and regular formal meetings. To carry out an annual performance/ personal development appraisal with managers and direct reports. Ensure that each member of staff has received an induction and annual appraisal. Communicate company information as and when required. To resolve any disciplinary/ grievance matters in line with company policy and procedure. To ensure the company’s health and safety policy and procedures are implemented and adhered to. To provide guidance, coaching and training to. To ensure all members of the management and administration team follow the company and legislative requirements. Personal Working as part of team to achieve the company and departmental objectives and standards. To manage the company’s administration activities and staff in an efficient and professional manner, ensuring a professional image at all times. To follow guidance and direction given by the senior management team to ensure that company policies and procedures are implemented and adhered to. Attend company training and meetings as and when required. To keep up to date with changes in legislation, payroll and pension requirements and best practice. Take responsibility for own personal development. Communicate with management on a regular basis.
