Brilliant opportunity for an EA offering vital support in this interesting business Your new company You will be offering vital Executive Assistant support predominantly to the Managing Director working within an interesting company where no two days will be the same, offering a role with real variance working within a friendly and supportive office environment. Your new role As mentioned this really is a role of variance where you will be able to use your great Executive Assistant skills Your typical duties will include but not be limited to the following: You'll be responsible for complex diary management for the Managing Directing as well as managing emails, ensuring all travel arrangements, meeting arrangements and associated information is managed effectively. You'll produce a daily folder with a diary and necessary papers etc to assist with any trouble shooting. You'll filter information as necessary to the Managing Director including phone calls, emails etc. In addition to this you will manage the process of researching for meetings for the Managing Director ensuring the Managing Director is fully prepared and briefed for meetings, in addition you will conduct weekly meetings with the Managing Director to discuss upcoming engagements, invitations and other requests. Producing monthly board packs, minutes and producing a board agenda booking necessary accommodation and dinner arrangements will also be a part of this role. You'll also participate and minute meetings as necessary whilst identifying necessary actions to be taken. You'll also participate in relevant meetings and events. Another part of this varied role will see you liaising with stakeholders on behalf of the Managing Director, maintaining the Managing Directors electronic filing system and assisting with general administration duties whilst ensuring the confidentiality of the companies information. You'll also be involved with management of the ISO 9001 audits and re-certification process, holding relevant stakeholders to account to drive forward initiatives. You'll be the important and professional front of house contact responding to phone calls, emails and in person enquiries. As a brilliant organiser you will also be responsible for organising events, preparing reports, policies and procedure in addition to managing the companies health and safety obligations. As a great people person you will also be responsible for the line management of an administrator and undertake reasonably required duties as required by the Managing Director What you'll need to succeed You will have a proven track record as an Executive Assistant at MD/Board Level with solid office management systems and software experience, especially the Microsoft Suite, also being familiar with online calendars and cloud systems. You'll have good experience with office equipment including printers, fax machines etc. You'll be a great communicator both verbally and written. You'll be confident, friendly and discrete with confidential information. You'll also be a natural organiser and multitasker able to remain calm under pressure and think on your feet. Being a natural people person able to confidently carry out 1-2-1's and an annual appraisal of the office administrator.
