Overview

Purpose of Role: To provide executive support to 50 Best operations team Key responsibilities & tasks: Managing the voting process Guest list management including ticketing Partner liaison Project manage the coordination of the marketing collateral Project manage and coordinate event merchandise (trophies, plaques, scarves) Support operations team with admin duties Key skills and qualifications required for role : Ability to work calmly under high pressure Attention to detail (Accuracy and excellent grammar and spelling) Strong multitasker Enthusiasm Adaptable Microsoft Word, Excel, PowerPoint General overview of role As an overview the Events Executive has a key role of supporting the Event Managers across a variety of 50 Best events. This could be awards and conferences. The main responsibilities for the Events Executive are to manage the voting process, marketing collateral and guest list. They therefore play a key role in the organisation of every event to which they are involved. The Events Executive must have great attention to detail and be an excellent multi tasker, be passionate about events and help to push projects forward to improve the event year on year in both entry levels and even logistics. The Events Executive must also develop an understanding of the sector in which the event is targeted. The main duties for the Events Executive are outlined below. Voting process Liaise with academy chairs to collate voting panel Manage voting site and entry process Draft all letters of correspondence with voters - send for approval by Director of Content Assist with voter queries Trophies Liaise with trophy suppliers Collate winner’s information and ensure proofs are approved by 50 Best Guest list Manage ticketing system Log RSVP’s onto guest list Generate and manage guest list Invite VIPs and manage complete process Liaise with stakeholders on guest numbers, dietary requirements Draw up seating plan where applicable Marketing Write copy for invitations, tickets, menu’s, programmes etc - send for approval by Director of Content Brief designer with copy for the above documents Manage marketing process through to sign off from core team Organise print Partners Become a contact for partners where applicable Obtain and collate all sponsor logos and key collateral Obtain and collate guest list names Chase presenter names General administration Attend internal/external meetings where required Organise relevant event merchandise Manage travel and accommodation document Support Group Operations Manager At events Set up the trophies/ scarves/ plaques Set up registrations, equipped with programmes & wristbands Ensure guests list is printed and set up Manage registration and guest check-in Assist the Event Manager where needed Manage sponsors where necessary Company benefits include Competitive salary 25 days Holiday (plus Bank Holidays) Contributory pension Life Assurance Group Income Protection Scheme WHY WORK FOR US William Reed has been providing market leading business information for over 150 years.
